CRM & Inventory Systems

Your CRM and inventory, built into your own website.

Zentra Oak builds custom CRMs and inventory management systems directly into the backend of your own website. Your staff get their own logins to a staff backend on your site to manage leads, customers, inventory, and estimates and quotes, so there is no separate software subscription.

What's included

Every system is shaped around how your business already works. These are available building blocks, not a fixed bundle included with every website. We agree on the records, screens, access levels, and responsibilities before building. Start with the part of your workflow that causes the most confusion, then add only the tools your team needs to keep that work moving.

  • Lead tracking from first contact to closed job
  • Customer records with history and notes
  • Estimating and quote tools
  • Inventory and stock levels
  • Staff accounts with their own logins
  • Roles that control who sees and edits what

How it works

We start with a short call to map how leads, customers, stock, and quotes move through your business today. From that we scope only the screens your team will actually use and send a clear quote.

We then build the staff backend into your website, import your existing records, set up accounts for each team member, and walk everyone through it. After launch we keep it maintained and add improvements as your business grows.

Before moving data, we review a representative spreadsheet together. We identify which columns belong in the new system, which records are duplicates, and which information should stay out. Your team confirms the cleaned records and any starting inventory counts. This avoids carrying inconsistent labels or outdated balances into a tool that people will rely on every day.

Testing follows the actual workflow: receive an inquiry, assign it, prepare an estimate, update its outcome, and record any agreed inventory movement. We check each staff role against the tasks it should perform. Training uses the same sequence, so your team learns the system through familiar work rather than a list of disconnected features. Launch timing depends on the agreed scope and the readiness of your data.

  • Discovery call and workflow mapping
  • Scoped quote before work begins
  • Build, data import and staff setup
  • Training plus ongoing maintenance

Who it's for

Small businesses nationwide that juggle spreadsheets, sticky notes, and several paid apps to track leads, customers, inventory, and estimates. If your team wants one place to work, on a website you already own, this is built for you.

A service business might start with inquiries, estimates, and job notes. A business that sells or installs products may also need a product list and stock adjustments. The right starting point depends on how often records change, how many people work with them, and what needs to be visible during a handoff. A small, clearly defined system can be more useful than a large collection of rarely used screens.

Custom CRM for Waukesha & Wisconsin small businesses

Zentra Oak is based in Waukesha, WI and scopes custom CRM and inventory tools for small businesses across Wisconsin and nationwide. We start with your team's everyday process, whether you need a clearer inquiry queue, shared customer history, or a reliable place to prepare estimates and track stock.

Lead tracking and customer records that support handoffs

A useful CRM answers a few practical questions: who contacted you, what they asked for, who owns the next step, and when the team last spoke with them. We can define lead stages around your process, such as New Inquiry, Contacted, Estimate Sent, Won, and Lost. Staff can record notes and the next action without maintaining a second spreadsheet. Website form connections are included only when specified in the project scope.

Customer records can bring contact information, internal notes, and previous work together. We decide which fields should be required and how a lead becomes a customer, so the same person does not need to be re-entered at every stage. Reporting reflects the information entered or captured in the system; it does not automatically represent every sale, phone call, or accounting transaction in your business.

Estimating and quote tools with a clear scope

Estimates can use an agreed list of products, services, quantities, and prices rather than a blank document each time. We discuss whether staff should use fixed prices, editable line items, or another calculation method your business already uses. The estimate record can keep its amount, status, and customer context together, making it easier to distinguish an initial estimate from an accepted quote.

We define how revisions should be handled before building: which version is current, who may adjust amounts, and what counts as accepted. PDF generation, customer delivery, electronic signatures, payment collection, and accounting synchronization are separate requirements to discuss, not assumed inclusions. Your team remains responsible for checking pricing, taxes, terms, and final customer-facing documents.

Inventory built around the way stock changes

Inventory starts with consistent product names, identifiers, units, and starting quantities. We map the events that change stock, such as receiving an item, using it on a job, returning it, or correcting a count. If you need location-specific quantities, reserved stock, or low-stock indicators, those requirements are defined in the proposal rather than added without understanding how your team will use them.

Physical counts still matter. A system can organize recorded movements, but it cannot know about unrecorded deliveries, damage, or items taken from a shelf. We agree on who can make adjustments and what explanation should accompany them. Purchasing, barcode scanning, supplier connections, and multi-location management can be discussed as additional scope when they are genuinely needed.

Individual staff accounts and appropriate access

Each staff member signs in through your own website with an individual account. We define roles by task, including who can view customer details, edit an estimate, adjust inventory, or manage other staff. An owner may need a broader view than a team member handling assigned work. Access rules are part of the agreed system, not simply a choice to hide a button on the screen.

During setup, we also discuss onboarding and removing access when someone leaves. Before launch, your team reviews the permissions with realistic examples. Avoiding shared accounts makes responsibility clearer, but staff still need sensible practices for passwords, devices, and the information they enter. Additional approval steps or detailed change histories can be scoped when your workflow calls for them.

Pricing, ongoing costs, and the next step

Review our website and custom-system pricing options for the available starting points. CRM and inventory work is quoted around the agreed features, data migration, staff roles, and integrations. The standard website upfront range is not a quote for a custom operations system. We outline build costs and ongoing hosting and maintenance separately before you commit.

There is no separate CRM or inventory software subscription for the custom system built into your website. That does not mean there are no ongoing costs: hosting, maintenance, and any selected third-party services still need to be covered. New features are evaluated and quoted separately. To start a useful conversation, bring a sample spreadsheet, describe who uses it, and identify one task that currently involves repeated entry or unclear handoffs.

Frequently asked questions

What does a custom CRM built into my website mean?

Instead of paying for separate software, we build a private staff backend directly into your own website. Your team signs in on your site to manage leads, customers, inventory, and estimates in one place.

Do I still pay a monthly software subscription?

No separate CRM or inventory subscription is needed. The system lives on your website, so you are not paying per user to a third-party software company. Hosting and maintenance are quoted with your project.

Can each staff member have their own login?

Yes. Every staff member gets their own account, and roles control what each person can see and change. An owner can see everything while a technician might only see their assigned jobs.

Can it work with the inventory and quotes we already track in spreadsheets?

Yes. Existing customer lists, product lists, and price sheets can be imported during setup, so your team starts with the records they already rely on.

Who is this a good fit for?

Small businesses anywhere in the United States that track leads, customers, stock, or estimates and want one simple system on their own website instead of several disconnected tools.

How is pricing set?

Every system is scoped to the features your business actually needs. We talk through your workflow on a short call and send a clear quote before any work starts.
